The Michigan School of Psychology, a private, non-profit graduate institution dedicated to excellence in clinical psychology education, is seeking a highly responsible, motivated and organized individual to fill the full-time staff position of Administrative Assistant.

The MSP campus is located in Farmington Hills, Michigan, a suburb of metropolitan Detroit, the largest urban area in Michigan. Summary:
The Administrative Assistant provides comprehensive administrative, clerical, and operational support to the executive office operations. This role requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality. The Administrative Assistant must have the ability to work independently on tasks and projects, from conception to completion, and thrive in a multi-faceted role that requires the ability to handle a wide variety of activities and confidential matters with discretion.
Essential Duties & Responsibilities
Board of Trustees Support:
- Create a strong relationship with and provide support for the Board of Trustees.
- Manage all logistics for Board meetings and events: schedule meetings; draft agendas; develop, compile, and distribute presentation materials; and record meeting minutes on behalf of the Board Secretary.
- Adhere to compliance with applicable rules and regulations set forth in the Board Manual and bylaws.
- Maintain all board records and the information maintained on the Board portal.
- Assist with onboarding of new Board members and recognition of members leaving the Board.
- Maintain discretion and confidentiality in relationships with all Board members.
Research and Information Management:
- Conduct basic research, gather data, and compile information from various sources to support reports, presentations, and decision-making.
- Assist in the preparation of background materials for meetings, presentations, and internal/external communications.
- Maintain and update departmental databases, contact lists, and other relevant information systems.
Fiscal Support:
- Assist in monitoring and reconciling budgets, reviewing reports, processing purchases and completing expense and mileage reports.
- Process invoices, expense reports, and other financial documentation in accordance with MSP policies and procedures.
- Maintain, organize and file fiscal documents to include, but not be limited to, accounts payable, monthly departmental reports, and budget documents.
- Track contracts and agreements with third party vendors; alert appropriate personnel regarding expiration dates and renewals.
Office Operations and Coordination:
- Welcome guests to MSP by greeting them in a professional manner, in person or on the phone; answering or directing inquiries.
- Handle sensitive and confidential information with discretion and professionalism.
- Organize and maintain both physical and electronic filing systems, ensuring confidentiality and easy retrieval of information.
- Process incoming and outgoing mail, emails, and phone calls, screening and prioritizing as needed.
- Track, order and maintain office, kitchen, and janitorial supplies.
- Manage ongoing room reservations and individual requests, reserve spaces, resolve room reservation conflicts, and update signage.
- Ensure phone coverage is provided during normal business hours; update phone system recordings when appropriate.
- Assist with calendar management as requested.
Meeting and Event Coordination:
- Plan, organize and facilitate events including, but not limited to, professional development days, program specific events, afterglow, and executive meetings.
- Coordinate and schedule meetings, workshops, and special events.
- Prepare agendas, take minutes, and distribute materials for various meetings.
- Manage room reservations for various meetings and events, ensuring appropriate setup and technology are available.
- Arrange catering and other logistical needs for meetings and events as required.
- Assist with travel arrangements as requested.

Required Qualifications:
- Education and Experience: Associate’s degree in Business Administration, Office Management, or a related field and a minimum of 3 years of related experience OR 6 years of related experience.

- Ability to maintain confidentiality.
- Ability to work independently with significant level of responsibility and resourcefulness.
- Ability to manage multiple tasks, set priorities and work to meet deadlines.
- Exceptional organizational and interpersonal skills with excellent attention to detail.
- Must be a team player, thrive in a collaborative environment and have the ability to interact with diverse groups of staff, students, visitors and constituents.
- Excellent written communication, critical thinking and problem-solving skills.
- Proficient in use of technology including Word, Excel, Google Docs.
Salary:
$50,000
Benefits:
The Administrative Assistant is a full-time salaried position with benefits. Benefits include medical, dental and vision insurance, paid time off, retirement benefits (after one year of service), flexible spending account, dependent care spending account, life, short and long-term disability insurance.
This position is exempt from provisions of the Fair Labor Standards Act (FLSA) and is not eligible to earn overtime pay for hours worked above 40 in a single work week.
Working Conditions:
MSP values connection and providing in person support to our students. This position is in person on the MSP campus.
