The Academic Support & Advocacy Center helps to support student persistence by centralizing student success professionals and incorporating differentiated and proactive care to students. The Office Assistant reports directly to the Executive Director and is responsible for the coordination and delivery of a full range of administrative services to the ASA. This position is to ensure excellent customer service is provided to campus partners including students, faculty, and staff; and that department goals are achieved.
The ideal candidate values teamwork and demonstrates strong organizational skills and attention to detail. Must have the ability to manage multiple priorities and projects, complete assignments on time while working independently with occasional supervision and the ability to communicate effectively across a diverse population.
Responsibilities include:
- Serve as the first point of contact for students, faculty, parents, and visitors
- Respond to general inquiries via phone, email, and in person
- Coordinate communications with parents, students, and campus partners
- Provide administrative support including scheduling appointments and meetings, preparing materials for events and meetings, reserving rooms, and assisting with special projects
- Manage department calendars, electronic and confidential files, record-keeping systems, spreadsheets, and departmental email accounts.
- Maintain and update the department website, sort and distribute mail, and order and manage office supplies
- Attend training sessions as needed
- Perform other duties as assigned

Minimum Qualifications
-
- Six months as a Clerical Assistant 1 (Commonwealth title);
OR
- Graduation from high school;
OR
- An equivalent combination of experience and training
- Demonstrated proficiency in the use of Microsoft Office Suite including Outlook, Word, Excel, and Teams
Required knowledge, skills, and abilities:
- Knowledge of standard vocabulary and usage, spelling, grammar, and punctuation
- Ability to use an alphanumeric keyboard
- Ability to proofread information for conformance with prescribed standards
- Ability to sort and file information
- Ability to perform mathematical calculations
- Ability to follow oral instructions
- Ability to read and understand written materials
- Ability to communicate effectively orally
- Ability to communicate effectively in writing
- Ability to establish and maintain effective working relationships

Preferred Qualifications
-
- Minimum of one year of administrative or office support experience in education or related field
- Demonstrated written and verbal communication skills through regular drafting of professional emails, reports, or memos, and ability to communicate clearly and respectfully with individuals from diverse backgrounds
- Experience supporting scheduling tasks such as managing calendars, coordinating meetings or events per month, and assisting with logistics like room reservations and material preparation
