The mission of the Bursar’s Office is to assist students and families in meeting their financial obligations to the University by providing accurate and timely billing, a variety of payment options, and superior customer service.
Reporting to the Assistant Vice President of Student Financial Services and Bursar, the Customer Service Specialist serves as first point of contact for the Bursar’s Office; works to ensure excellent service is provided to University constituents including students, parents, faculty and staff; and coordinates and delivers a full range of administrative services to the Bursar’s Office. This is a confidential assignment requiring the utmost respect and privacy.
The ideal candidate will demonstrate customer service, administrative and higher education experience; excellent organizational, analytical and problem-solving skills; an understanding of student accounts and basic accounting procedures and the ability to effectively communicate and collaborate with a diverse campus community.
Responsibilities:
- Greet and receive visitors
- Answer incoming calls
- Manage department email accounts and respond to inquiries
- Provide counseling about payment obligations and offer payment options
- Analyze student accounts to ensure that transactions are properly applied
- Assist with all non-cash aspects of student accounts
- Maintain student accounts including activating accounts and placing and removing holds
- Maintain AVP files
- Schedule AVP meetings and appointments
- Track department and reconcile expenditures (SAP)
- Coordinate and maintain departmental records retention policy
- Act as payroll liaison for the department
- Maintain time and attendance reports
- Process overtime hours
- Maintain office equipment
- Monitor and maintain supply inventory
- Obtain price quotes from purchasing and outside vendors
- Distribute mail
- Process of work orders and equipment maintenance
- Other related duties as assigned

Minimum Qualifications
-
- One year as a Fiscal Assistant OR
- Three years of work involving the maintenance of fiscal or financial records, including one year of responsible work which involves the application of accounting or fiscal principles and practices; and graduation from high school OR
- One year of experience in maintaining and reviewing fiscal records and an Associate degree in accounting or business administration OR
- Any equivalent combination of experience and training
- Demonstrated proficiency in the use of Microsoft Office Suite including Outlook, Word, Excel, and Teams
Required Knowledge, Skills and Abilities:
- Thorough knowledge of bookkeeping principles and practices
- Knowledge of modern office practices and equipment
- Some knowledge of accounting principles and methods
- Ability to perform detailed work involving written or numerical data and to make arithmetical calculations rapidly and accurately
- Ability to prepare financial reports and statements
- Ability to apply and adapt established methods to financial transactions

- Experience in an administrative or receptionist role
- Customer service experience
- Excellent written communication skills
- Higher education experience
- Experience with higher education software including Nelnet, Banner and SAP
