    The shift for the position is Monday to Friday, 8:00 a.m. – 4:30 p.m.

    The Housing Operations Assistant provides comprehensive administrative and operational support to the Housing Operations department and the Senior Associate VP of Housing Operations. This role assists visitors, students, and their guardians with housing inquiries and assignments, maintains accurate housing and meal plan data, and ensures smooth day-to-day office operations.

    The ideal candidate will demonstrate excellent customer service skills; strong organizational skills; the ability to manage multiple priorities in a fast-paced and high-volume environment; technology proficiency; and the ability to effectively communicate in writing and verbally and interact dynamically with a variety of constituents.

    Responsibilities include: 

    • Assist with the distribution of information related to various housing and meal plan processes, including all housing processes for new and returning students, summer housing, and other applicable programs
    • Receive visitors and telephone callers in a courteous and professional manner, providing information and resolving problems in accordance with department or division policies and procedures
    • Respond to emails using appropriate spelling, grammar, and professional tone that appropriately represents the office
    • Maintain necessary records and billing related to housing occupancy and meal plans management for all terms and update information as needed
    • Assist with the assignment and billing of housing and meal plans for summer students/campers, break housing, Academic Success Program students, Promise Program students, and other special populations
    • Assist the Housing Operations Office with various administrative processes and responsibilities
    • Assist with Accepted Students Days, typically two Saturdays held during the spring semester, Orientations, and other events as needed to showcase and promote WCU housing. Some weekend work is required.
    • Assist in managing and coordinating the Housing Operations calendar, including scheduling meetings, conferences, appointments, and departmental activities.
    • Update forms, documents, and brochures as needed, utilizing basic concepts of layout and design
    • Regularly utilize software programs to facilitate and expedite communications
    • Perform other duties as assigned

     

  • Minimum Qualifications

  •  

    • Such training may have been gained through graduation from a four-year college or university or any equivalent combination of experience and training.
    • Demonstrated proficiency in Microsoft Office including Outlook, Teams, and Excel

    Required Knowledge, Skills & Abilities:

    • Some knowledge of the principles and practices of public administration
    • Some knowledge of the principles of governmental accounting, statistics, and public personnel administration
    • Some knowledge of the sources of information, methods, and techniques used in administrative research
    • Ability to carry out, with some supervision, staff assignments requiring the organization of material and development of procedures
    • Ability to conduct studies and analyze contributing to the development of sound operational procedures
    • Ability to speak and write effectively
    • Ability to establish and maintain effective working relationships with administrative officials, other employees, and the general public

     

  • Preferred Qualifications

 

  • Experience in an administrative role
  • Customer service experience
  • Experience in higher education and student support
  • Experience using housing and document management systems such as StarRez, Slate, Qualtrics, Microsoft Teams, etc.

    Salary and benefits are dictated by the American Federation of State, County and Municipal Employees (AFSCME) collective bargaining agreement.
