Franklin, MA United StatesThe Database & Advancement Services Manager supports the fundraising, alumni engagement, stewardship, and operational initiatives of the Office of Institutional Advancement through the effective management of the College's advancement database and related services.
This position serves as the primary administrator of Raiser's Edge and Raiser's Edge NXT (RENXT), ensuring the accuracy, integrity, and security of constituent and gift data. The Database & Advancement Services Manager oversees advancement services operations, database administration, gift administration, financial reconciliation, reporting and analytics, prospect management, data governance, and continuous process improvement.
Working closely with advancement staff, the Database & Advancement Services Manager provides the data, reporting, and operational support necessary to strengthen fundraising efforts, inform strategic decision-making, and enhance constituent engagement. The successful candidate will be highly organized, detail-oriented, and collaborative, with strong analytical, project management, customer service, and communication skills, and the ability to manage multiple priorities in a mission-driven environment.
Expected salary range: $55,000-$65,000 per year, commensurate with experience. The College also offers a comprehensive benefits package, including health insurance, retirement contributions, and generous paid time off.
Position requirements include:
Gift Administration & Financial Reconciliation
- Process and record gifts, pledges, matching gifts, stock gifts, recurring gifts, and other charitable contributions.
- Ensure timely gift acknowledgment and receipting in accordance with IRS regulations and institutional policies.
- Maintain campaign, fund, appeal, and designation structures within Raiser's Edge/RENXT.
- Generate pledge reminders, payment schedules, and gift documentation.
- Serve as the primary liaison between Institutional Advancement and Finance regarding gift accounting and reconciliation.
- Reconcile gifts and pledges regularly with College financial records.
- Prepare documentation for audits and fiscal year-end reporting.
- Ensure compliance with CASE standards, IRS regulations, and institutional gift acceptance policies.
Advancement Services, Reporting & Analytics
- Develop and maintain dashboards, reports, and key performance indicators for advancement leadership.
- Produce engagement, philanthropy, campaign, donor retention, alumni participation, pipeline, and stewardship reports.
- Utilize Raiser's Edge/RENXT reporting tools, dashboards, and queries to provide actionable insights.
- Provide data analysis to support strategic planning, goal setting, forecasting, and performance evaluation.
- Assist in the preparation of Board of Trustees, presidential, and executive leadership reports.
- Support campaign planning and fundraising strategy through data analysis and reporting.
Prospect Management & Research Support
- Support prospect identification, qualification, and portfolio management efforts.
- Coordinate wealth screening projects and prospect data updates.
- Assist with moves management reporting and pipeline analysis.
- Generate lists, segmentation strategies, and data selections for fundraising and engagement initiatives.
- Support donor strategy development through research, analytics, and constituent insights.
Engagement & Stewardship Support
- Build constituent lists and reports for alumni, donor, parent, and community engagement activities.
- Support donor recognition programs, honor rolls, impact reports, and stewardship communications.
- Assist with event registration, attendance tracking, and engagement reporting.
- Maintain donor recognition and naming opportunity records.
- Track and report constituent engagement metrics across advancement programs.
- Support the implementation of strategies designed to strengthen donor retention, alumni participation, and overall constituent engagement.
Training & Customer Service
- Train staff on database procedures, reporting tools, and best practices.
- Provide technical support and troubleshooting related to advancement systems.
- Develop user documentation, training materials, and process guides.
- Promote a culture of data accuracy, accountability, customer service, and continuous improvement.

Preparation, Training, and Experience:
- Bachelor's degree or an equivalent combination of education and relevant experience.
- Two to four years of experience in advancement services, fundraising operations, database administration, or a related field.
- Experience administering Raiser's Edge and Raiser's Edge NXT (RENXT), preferably in a nonprofit or higher education environment.
- Demonstrated experience with gift processing, constituent management, reporting, and data governance.
- Advanced proficiency with Microsoft Excel, including formulas, pivot tables, lookups, and data analysis.
- Strong analytical, organizational, problem-solving, and communication skills, with the ability to manage confidential information and exercise sound judgment.
- Commitment to customer service, collaboration, and continuous learning.
- Ability to work nights and weekends as needed
- Preferred: Experience in higher education advancement, including knowledge of CASE reporting standards, prospect research, wealth screening, fundraising campaigns, alumni engagement, donor stewardship, and the development of dashboards and data visualizations.
