ATHENS, OH United StatesThe Assistant Director builds room selections, assignments, housing and dining contracts and provides student service oversight and responses that support an 8,000 bed housing program. Building the housing and dining contract and room selections/assignment experiences, includes testing and audit processes for all software experiences and essential data delivery between Peoplesoft and the housing occupancy software. Guides students, addresses complex issues and collaborates with multiple campus partners, including Accessibility Services, Learning Communities, Honors and Scholars, ROTC, Margaret Boyd Scholars, and other specialized programs for manual assignments. Coordinates and facilitates the training and communications for professional staff, senior resident advisors and student service ambassadors as well as communication with all current and prospective students in relation to business practices and systems that support the department’s business processes. This position will also serve as a member of the Housing and Residence Life team to support student recruitment and retention efforts, to include admissions events (travel or on campus), Bobcat Student Orientation, and on-call efforts when required.
Key Responsibilities:
1. Housing Operations: Manages the housing application process, roommate selection, housing assignments, room and meal plan selection experiences, and contract processes for over 8,000 students who reside on campus. Leads a team of student and professional staff members responsible for student service response to phone calls, text message outreach, and email inquiries. Oversees the semester extension process for students requiring housing pre/post the traditional academic term, including Early Arrival assignments, contracts and communications. Employs critical decision and problem-solving skills to promote the best student experience. Manages occupancy, gender, and room type configuration changes for all 36 residential facilities on the Ohio University Athens campus as well as any master leased off campus living opportunities. Manages space throughout the room selection experiences to maximize utilization of residence halls. Manages the contract, access, meal plans, and assignment process for specialized populations (students with documented accommodations, learning communities, specialized living experiences, ROTC, OHIO Honors, HTC and scholars programming, etc.) Collaborates with the Office of Accessibility Services to ensure students with documented medical accommodations receive assignments into on-campus locations that meet their documented needs.
2. Business Functions through Operations and Software: executes functions that have an impact on student accountability and billing. Communicates to students and families when processes updates, and tests protocols and integrations as software is updated or changed. Manages the two-year live-on requirement. Audits commuter eligibility and declared intent to enroll status and integrations. Manages the withdrawal and no-show process, as well as the contract cancellation process. Audits regional relocates and transfer students for the on-campus housing requirement. Oversees room change process and vacancy reports to ensure accuracy of student data as a deliverable to Peoplesoft. Oversees the Greek Life Exemption process. Oversees the Risk and Retention Management Process to support retention, identify at risk students and ensure proper billing for all withdrawals and no shows
3. Supervision and Training: Provides recruitment, training, development, and supervision of professional, graduate and undergraduate student staff team and supporting the student services team. Establishes service standards of excellence for inquiries regarding questions related to the contract process, room selection experiences, and meal plans as well as the residential experience. Provides direct supervision and professional development of all student service staff including student service ambassadors, undergraduate interns, graduate assistants and full-time staff members. Trains internal staff on business technology with internal staff on business processes (vacancy reports, withdrawals, and room changes), housing software platforms, customer service enhancement tools, and the contract/room selection processes and appropriate timelines. Edits training manuals and materials as needed to maintain continuity of practices throughout changing and developing business processes.
4. Recruitment and Retention: Provides functional support for Housing and Residence Life in collaboration with Housing and Residence Life Business team and Orientation to support Residence Life components of the Resource Fair and other areas as needed. Communicates with prospective and current students as well as staff, including but not limited to webinars and video tutorials on the housing contract and selection process, room selection process, THD Mobile, My OHIO Roomie, medical accommodations, the housing exemption and termination process, room change process, two-year live on requirement, and billing. Provides support for My OHIO Roomie, Admission Yield Events and Out of State Receptions to advance efforts of student recruitment. Ensures accurate website updates for all business operations sites including Housing Self-Service links and related webpages at ohio.edu/housing.
5. Student Affairs Professional: Actively contributes as a staff member of the Division of Student Affairs that upholds the framework of personal well-being of the university community. Provides leadership, promotes collaboration, and facilitates effective communication across all departmental, divisional, university, and community partners. Maintains current knowledge of the University, its environment, purpose, and affairs to be prepared to respond to appropriate issues. Actively participates in professional development opportunities and maintains knowledge of current trends and best practices within area of responsibility. Advocates and promotes student well-being through roles and responsibilities in support of the department, division, and university initiatives. Performs other duties as assigned.
