The Office for Social Impact is seeking applications for Administrative Assistant 1 who will demonstrate strong administrative support. The core functions of this role entail administrative leadership, budgetary oversight, office management, marketing, and communications support. The Administrative Assistant I will serve as the first point of contact for all visitors.
Responsibilities and Duties
- Provides administrative support that includes direct support of professional staff, graduate assistants, and student staff; welcoming visitors to the office suite; reserving meeting and event spaces; providing logistical support for programs and initiatives; managing the shared calendar and email account; managing tabling requests; completing student record checks; organizing office celebrations; making travel arrangements
- Serves as the cost center manager for purchases, including purchase card reconciliation, preparing, and submitting invoices for payment, managing contracts, creating requisitions and purchase orders. Assists the Director in budget management.
- Coordinates office management activities and procedures, including building/maintenance repairs; work order requests; telephone, computer, and photocopier issues; key maintenance; SharePoint, Webex Teams, shared calendar, shared email, and sponsored group management. Serves as the departmental key coordinator and phone coordinator.
- Supports marketing and communication, including updating the Office for Social Impact website, posting content to various platforms, and creating event posts. Serves as website content contributor and TU Today contributor.
- Orders and maintains supplies and materials including keeping the storage closet organized.
- Assists with recruitment and hiring processes of new employees, including onboarding and separation procedures for staff, student employees, and graduate assistants.
- Performs other administrative and clerical duties as assigned.
This work schedule includes evenings and weekends on an occasional basis.
Qualifications and Skills
Required Qualifications:
- High School Diploma or GED
- Two years of experience providing administrative support.
General knowledge of and skill in the practical application of generally accepted office practices and procedures. Ability to communicate effectively both orally and in writing. Ability to proofread and edit written documents. Skill in various computer software packages, such as word processing, spreadsheets, database and presentation programs, Internet, email and calendaring software. Ability to understand and follow oral and written instructions. Ability to interact effectively with internal and external parties in a courteous and efficient manner. Ability to plan, organize, prioritize, and execute multiple and continuing assignments with general instructions.
Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.
The successful candidate must have the ability to obtain university van driver clearance.
Preferred Qualifications:
- Experience working in a university or K-12 educational setting.
