Created by the Oklahoma Territorial Legislature in 1890, the University of Oklahoma (OU) is a doctoral degree-granting research university serving the educational, cultural, economic, and health-care needs of the state, region, and nation. Office Administrator
Pay Range: Targeted salary: $50,300 annually, based on experience
Benefits Eligible: Yes
Work Schedule: Monday – Friday, 8:00 a.m. to 5:00 p.m.
Travel: Not required
Position Introduction:
The Office Administrator provides high-level project management and administrative support for the Office of the Vice President for Student Affairs and Dean of Students, ensuring the successful execution of critical leadership initiatives. Reporting directly to the Chief of Staff, this role provides specialized support for the Vice President's suite, focusing on executive scheduling, comprehensive project management, and targeted research. The Office Administrator ensures the strategic success of the Division of Student Affairs by tracking project timelines, deliverables, and Key Performance Indicators (KPIs). To optimize leadership productivity, the Office Administrator manages comprehensive executive calendars, proactively prioritizing meeting requests and resolving scheduling conflicts to ensure efficient time management in a fast-paced environment. This role oversees all aspects of executive travel and coordinates with the leadership team to ensure successful execution of departmental priorities. We are looking for a professional who pairs exceptional communication skills with the technical savvy and poise necessary to manage high-stakes priorities while representing the office with the highest level of integrity. Operating within a shared support model, the Office Administrator works alongside a team member in the main lobby to manage the reception area. Together, this team ensures an elite standard of service by greeting visitors, answering and screening phone calls, and routing high-priority communications to the appropriate executive lead or campus partner. Additionally, the Office Administrator manages the procurement of supplies and coordinates facility and IT liaison duties in compliance with university policies to maintain the seamless operation of the executive environment.
Essential Duties:
- Provides project management support for key leadership initiatives within the Division of Student Affairs.
- Tracks project timelines, deliverables, and Key Performance Indicators (KPIs) to support strategic goals.
- Provides high-level administrative and operational support to the Vice President for Student Affairs and Dean of Students.
- Screens, prioritizes, and routes high-level communications and inquiries to appropriate executive leaders or campus partners.
- Collaborates closely with the Chief of Staff and leadership team to ensure alignment with divisional objectives.
- Supports coordinated suite operations through shared administrative coverage and collaborative workflows.
Required Education and Experience:
- Bachelors Degree.
- 3 years of experience in office management, administrative coordination, or related roles.
Equivalency/Substitution: Experience or a combination of education & related experience can be considered in lieu of degree. A one-to-one ratio is used to determine the number of years of experience required in place of a degree.
Department Preferences:
- Experience providing high-level administrative partnership to senior or executive leadership.
- Professional experience navigating a complex university environment.
- Proficiency in university enterprise systems.
- Proven ability to track project timelines, deliverables, and administrative KPIs.
- Expertise in complex executive scheduling and proactive conflict resolution.
- Strong leadership and team management skills.
- Ability to exercise independent judgment and use data in decision-making.
