Assistant Director of Business Services for HRL

The Division of Student Affairs is the 3rd largest of 9 divisions at UNC Charlotte with over 500 employees and 20 departments. Summary of Responsibilities: The primary purpose of this position is to support the Director of Business Operations in administering and maintaining the financial and personnel operations of Housing and Residence Life and to provide continuity of divisional business functions as needed. This role performs a broad range of financial and business-related duties associated with budgeting, financial analysis, forecasting, auditing, personnel administration, and compliance within a complex, multi-funded auxiliary environment. The position works directly with Housing and Residence Life unit leaders to ensure financial reports are clear, accessible, and actionable, and provides guidance to help units understand and navigate the budgeting process throughout the fiscal year.
This role serves as a liaison to Human Resources and Employee Relations, providing consultation to supervisors on position management, recruitment processes, performance management, and employee conduct matters in accordance with university and state policies. The position works closely with the Business Analyst to ensure smooth student employment onboarding and offboarding processes and supports supervisory needs related to the overnight security team to ensure operational continuity and compliance. Additionally, the role assists with vendor relations, including financial oversight, contract monitoring, essential notifications, and vendor registration processes to support fiscal accountability and operational efficiency.
The position must develop and maintain strong working knowledge of enterprise financial and human resource systems, including but not limited to Banner, NinerTalent, NinerWorks, Concur, and related reporting platforms, in order to effectively support budgeting, personnel transactions, compliance requirements, and divisional reporting needs.
DUTIES AND RESPONSIBILITIES
- Assist the Director of Business Operations in managing business functions within a complex auxiliary environment supported by multiple funding sources.
- Interpret and apply university, state, and system policies to ensure compliance and sound business practices.
- Lead assigned business processes, initiatives, and operational projects while supporting broader divisional goals.
- Collaborate with Human Resources, Employee Relations, Finance, and other campus partners to support divisional operations.
- Monitor business processes, identify operational efficiencies, and recommend process improvements.
- Contribute to short- and long-term strategic planning efforts that support divisional growth and effectiveness.
- Support budget development, financial forecasting, capital planning, and overall financial management activities.
- Analyze expenditures, revenues, and budget trends to support fiscal accountability and informed decision-making.
- Develop and maintain financial reports, dashboards, and data visualizations using enterprise reporting tools.
- Review and process financial transactions, budget revisions, journal entries, funding changes, and compliance-related audits.
- Serve as a divisional resource on financial policies, procedures, and business operations.
- Assist with recruitment, position management, personnel actions, performance management, and HR-related processes.
- Analyze financial, operational, and personnel data to identify trends, risks, discrepancies, and opportunities for improvement.
- Prepare and communicate reports, training materials, procedural guidance, and sensitive business information with professionalism and discretion.
QUALIFICATIONS
The minimum qualifications are below:
- Bachelor’s degree in business administration, public administration, or related business area; or
- Equivalent combination of training and experience.
- All degrees must be received from appropriately accredited institutions..
Preferred Education, Knowledge, Skills and Experience:
- Manager at least 5 years of supervisory and relevant experience within higher education housing or auxiliary service operations
