The Assistant Reservations Manager will assist the manager in the work of the Reservations Management subunit in Event and Conference Services (ECS). Oversee Reservation Specialists and student aides. Assist manager in functional and system administration of online scheduling program (currently 25Live by CollegeNet). Act as backup to manager.

 

Responsibilities and Duties

 

  • Serve as the first point of contact for phone calls and process online reservation requests. Route calls or messages as appropriate. Provide clear instructions for callers to submit requests. Focus on student group requests, but also have working knowledge of and capability to process all request types.
  • Offer training and education to students, ECS colleagues, and other campus users to improve the efficiency of online scheduling program use campus-wide by creating, developing, testing, and revising content. Assist supervisor with the collaborative council of campus location approvers.
  • Gather and manipulate data to create and interpret reports for supervisor and director. Specifically, review and recommend using and allocating campus locations and event scheduling for maximum potential value to the university. In addition, ensure accurate reporting of annual assessment data and suggest areas of improvement or additional data points that reflect ECS efficacies.
  • Verify and update data in the online reservation system and companion tools used by the ECS unit, focusing on the accuracy of student group status and members authorized to request locations.
  • Serve as additional functional administrator and system administrator in the online scheduling program. 
  • Supervise and schedule reservation specialists and student aides to support reservations and office needs during operational hours. Conduct ongoing performance evaluations and provide exceptional leadership for direct reports. Instruct student aides to review the accuracy of event promotion details shared by units or personnel other than ECS.
  • Coordinate with supervisor and campus partners during scheduling locations for annual event needs such as Orientation, Admissions events, Commencement, etc.
  • Assist in executing significant campus-wide events such as Commencement and Convocation as required when assigned by supervisor.

 

Telework may be available for this position up to two days per week following the completion of 90 days of service in good standing.

 

Qualifications and Skills

 

Required:

  • Bachelor's Degree conferred by May 2024.
  • Minimum of one year of work experience.
  • Expert use of computerized systems.
  • Excellence in complex decision-making.
  • Ability to prioritize tasks.
  • Working knowledge of collecting, compiling, and organizing data including evaluating, performing, and reporting mathematical and statistical information.
  • Ability to establish and maintain working relationships with internal and external constituents.
  • Ability to communicate clearly, concisely, and effectively for a variety of audiences including professional staff and students.
  • Ability to work independently and collaboratively on multiple tasks.

Preferred:

  • Working knowledge of 25Live by CollegeNet.
  • Knowledge of computerize scheduling system.
  • Supervisory experience with one or more direct reports.
  • Experience in a customer service environment.
  • Experience in a higher education environment.
  • Current Maryland Crowd Manager certification.
  • Experience building teams.
  • Experience with innovative problem-solving.

 Salary and Benefits 

Targeted Hiring Range is $43,000 - $47,500 and full University benefits that include 22 days of annual leave, up to 15 holidays, personal and sick days; excellent health, life, and retirement plans; and tuition remission.
