Job Description

Full-Time Equivalent Hiring Range: $35,400 - $44,250; salary commensurate with relevant experience.

The Admissions Assistant position is full-time.  Office hours are Monday – Friday from 9:00am to 5:00pm.  Occasional evenings and weekend work may be required. Some travel, when appropriate.

Reporting to the Assistant Director of Admission, the Admissions Assistant coordinates all aspects of the admission process related to program information dissemination, collection of electronic applications, and communication of admission and scholarship decisions. In addition, the Admissions Assistant coordinates the process for awarding graduate assistantships, organizes volunteer peer advisors, and supervises student employees. Specific job functions include prospective student customer service, application and scholarship process management, database maintenance, event planning, coordination of graduate assistantships, and other duties. This position will oversee a team of graduate student assistants. Essential functions include:

Manage day-to-day operations of Admissions Office. Provide excellent customer service to prospective students and their families. Welcome and greet visitors in person or on the phone; answer e-mail or phone inquiries regarding academic programs and resources; provides advice to students and their families regarding admissions and/or records and registration process and eligibility; interact with students and/or families to follow up on missing or deficient information; resolve problems related to admissions process by clarifying complaint, determining cause of the problem, and advising the best solution.

Manage collection of application materials for approximately 1,000 MSW applicants. Review, verify, and assess applications and supporting documentation in accordance with established guidelines to determine admission eligibility; reviews documents to ensure accuracy and completeness. Contribute to the maintenance of Slate CRM system as a power user and a resource for the School of Social Work.

Coordinate various admission related events pre-and post-selection (i.e. attendance to career fairs, incoming student reception, new student orientation).

Create and maintain the various admission and financial aid databases to be shared by Admissions. Field Education, and Student Services.

Provide internal customer service with advice and guidance to other departments within the School and within the University.

Attend Graduate and Professional School Fairs, and other trade meetings (i.e. the Council in Social Work Education annual conference, and other recruitment fairs) as needed.

Coordinate the award of graduate assistantships.

Requirements

Bachelor’s degree strongly preferred. At least two years of college admissions experience is required. The Admissions Program Assistant must be a self-starter, and able to work independently in a deadline oriented environment.  They must also possess excellent communication, organizational, interpersonal and customer service skills.  They should be able operate in a diverse settings and surroundings. The ability to set priorities is imperative.  The Admissions Assistant should also be a team player who is adaptable to change. Flexibility is a must. Be highly proficient in use of all standard office equipment. Proficient with PCs (Word and Excel), on-line student information systems, and other appropriate office equipment.  Ability to represent Boston College and the School of Social Work in an outgoing and professional manner at public events. Superior customer service orientation and focus and the ability to work effectively independently as well as in a team environment. Superior written and oral communication skills. Ability to work with varying constituencies including faculty, staff, and students. Excellent organizational skills, ability to multi-task, and attention to detail. Familiarity with Boston College systems including Slate, EagleApps, FolderWave, and AEM is preferred. Excellent computer skills (Excel, FileMaker Pro, Microsoft Word, Power Point). Ability to maintain data security and confidentiality of all data at all times. Strong interpersonal skills and demonstrable problem solving skills. Ability to hire, delegate, oversee, follow-up and supervise student employees (valuing diversity). Ability to create and maintain systems for efficient office management. Ability to work with others under pressure in order to meet deadlines. Ability to engage in discerning conversations with prospective and admitted students.
