Notre Dame Law School is seeking a versatile professional to organize and execute a variety of events for alumni, faculty, staff, and students. The variety of events includes faculty meetings and colloquia, alumni and donor events, and advisory board meetings. The events-related tasks will include — for example — helping speakers and visiting scholars with travel arrangements, booking spaces and related requirements for those spaces, planning menus and ordering food, purchasing gifts or merchandise for attendees, and processing payments and expense reports.


This position will report to the Law School's marketing communications director and work closely with the Law School's other events coordinator, who also organizes Law School events but focuses primarily on academic events such as speakers, faculty roundtables, faculty events in Chicago and abroad, and student events such as orientation and commencement.


The Law School's Marketing Communications team produces ND Law's publications and marketing materials, maintains the Law School's websites and social media, and manages the planning and marketing for Law School events. Although events will be this position's primary area of responsibility, other administrative tasks may be assigned when necessary. This is a great opportunity to work on a variety of projects in a collaborative environment at one of the nation's best law schools.


Please note that some occasional weekend work and some travel may be required of this position. In the past, the person in this role worked an average of five weekend events per year. Travel included, for example, law alumni events in Chicago and New York.


Essential Duties and Responsibilities:


• Work with event sponsors to identify their goals and requirements


• Organize event to ensure all requirements are met and environment is conducive to positive guest experiences


• Reserve appropriate spaces for events


• Place orders for food, services, and equipment for events


• Ensure communications needs are met for event (e.g., invitations, agenda for attendees, etc.)


• Assist with setup and provide on-site management to ensure event runs smoothly


• Assist guests with travel accommodations


• Process expense reports and payments to vendors


• Order and stock supplies for faculty kitchen


• Order and stock office supplies for Marketing Communications Department


Minimum Qualifications:


• High school diploma or GED

• At least 3 years of experience working in an office setting

• Excellent written and oral communication skills

• Exemplary customer-service and interpersonal skills

• Strong organization skills and attention to detail

• Ability work collaboratively as part of a team


Preferred Qualifications:


• Bachelor’s degree

• Proficiency with Google Suite and Microsoft Office

• Ability to learn other software programs for University financial processes
