Job Description:


As a team member of the Alumni Relations office, the Assistant Director, Systems & Technology, will advance the strategic goals and priorities of Santa Clara University through providing centralized event systems and technology support to improve team-wide efficiency and deliver consistent and engaging marketing and brand messaging. These efforts will increase the University's national prominence, support the University's goals, and achieve campaign objectives.



• Event Systems Management

• Systems Specialist

• Alumni Relations Team Member

• Manage student assistants, as appropriate

• Regular check-in meetings and ongoing guidance

• Project development and guidance on project prioritization to meet department goals and various Alumni directors' program and event needs

• Monitor and guide performance on a regular basis



• Recommends initiatives and implements programs and changes to improve quality and services

• Identifies and determines cause of problems; develops and presents recommendations to improve processes and practices; proactively implements new methods and ensures its success

• Solicits alumni feedback to leverage to improve programs and services

• Maximizes productivity through use of appropriate tools; participates in planned training exercises and drives performance evaluation initiatives

• Researches and cultivates resources to maintain an effective and efficient workflow

• Prepares progress reports to track goals; regularly informs supervisor of project status

• Ensures completeness, accuracy, and timeliness of all operational functions

• Composes and implements guidelines to support the functions of the unit




1. Knowledge


• Knowledge of Santa Clara University and The SCU alumni community

• Proficient in Microsoft Office (Word, PowerPoint, Excel)

• CLARA Blackbaud CRM (or similar database), Blackbaud NetCommunity Blackbaud Internet Solutions (or similar offering), LiveWhale web calendar, other online research and social media tools as needed


2. Skills


• Excellent verbal, written, and interpersonal communications skills; experience writing in AP-style

• Excellent marketing and communication skills

• Project management skills

• Own and drive multidimensional projects, ensuring all aspects are attended to and moving forward as appropriate

• Manage multiple projects simultaneously while meeting deadlines

• Ability to learn and master new technologies quickly

• Demonstrates strong problem-solving skills and an eye for streamlining procedures and implementing best practices

• Demonstrates great attention to detail

• Excellent organization and time-management skills


3. Abilities

• Ability to work both independently and in a team environment in order to achieve the University's goals

• Ability to organize and complete multiple tasks on deadline

• Ability to collaborate effectively with coworkers and cross-collaborate with external departments

• Maintain an early-adopter attitude toward ever-evolving technology

• Willing and able to work during nonstandard business hours, which will include evenings and weekends

• Ability to travel, as required


4. Education/Years of Experience

• Bachelor's degree required

• Five to six years of professional experience in alumni relations, event planning, and/or similar responsibilities, preferably in a higher education or a corporate environment

• Proficient with technology systems including CRM software, broadcast email tools, content management systems, etc.
