PURPOSE OF THE POSITION: 

Coordinates student housing facility readiness and turnover on a cyclical and as-needed basis and by executing special projects through student, staff, and vendors.

RESPONSIBILITIES & DUTIES: 

Assists the Director of Housing Services & Operations by coordinating operational efforts with primary responsibility for developing, planning, and executing facility projects, inspects all communal spaces on a weekly basis and resident spaces on an as-needed basis. Identifies a variety of facility needs and designs and recommends solutions for furniture, equipment, services, and repairs to best meet student need. Reviews and documents administrative and operational procedures and assists with the development of an administrative and operations procedural manual for Housing & Residential Education (HRE). Provides regular updates to HRE’s Business Continuity Plan. Responsible for identifying, analyzing, planning, coordinating, and implementing work assignments related to HRE facility readiness for student occupancy. Provides highly responsive customer service while protecting the confidentiality of student records in accordance with FERPA. Coordinates services for the maintenance and operation of HRE facilities with vendors and other University personnel, including post-occupancy cleaning vendor coordination, finalizing damage and cleaning charges, and furniture moves and installation. Contacts, coordinates, schedules, directs, and oversees work completed by outside vendors including but not limited to furniture selection, delivery, and coordination of installation as well as coordination of monthly and annual pest control inspections and treatments. Maintains current information about HRE and campus administrative, operational, and programmatic activities in order to provide accurate information to students, parents, and the University community. Coordinates operational and administrative functions that are unique to the support of Mission Oaks’ Town Center housing including, but not limited to, troubleshooting technology issues related to cable/internet services through Frontier Communications and follow-up with students who exceed energy use standards. Develops a full list of resources, staff assignments, and work flow for significant HRE events (e.g., Island View Orientation, check-in, check-out, year-end donation station, Admitted Dolphin Day, and extended stay requests, etc.). Provides adequate notice to HRE staff of the need to finalize tasks, information, or forms for these events. Attends various campus meetings and communicates with students, parents, and vendors. Assures finalization of room inspection and necessary damage billing for mid-term, spring, and summer checkouts. Responds to occupancy changes by coordinating room turn-over and set up through planning, scheduling, and directing, furniture moves to accommodate occupancy demands. Maintains extensive inventory of furniture, equipment, and room condition. Performs additional related duties as assigned.

SUPERVISOR/OTHER WORK RELATIONSHIPS:

Reports directly to the Director of Housing Services & Operations. Collaborates with all Housing & Residential Education and Student Affairs staff. Provides day to day oversight for HRE student assistants, Facilities Services partners and contracted vendors.

REQUIREMENTS OF POSITION: 

Bachelor's degree and/or equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs is required. Two years of progressively responsible administrative and/or operations experience is required, with three or more years’ experience preferred. One or more years of experience working within a university housing program is preferred. Thorough knowledge of English grammar, spelling and punctuation; thorough knowledge of office methods, procedures and practices; ability to establish and maintain effective working relationships within and outside assigned work group. Ability to work autonomously with limited supervision and apply a wide variety of policies and procedures to make operational decisions where specific guidelines may not exist. Ability to understand problems from a broad perspective and anticipate the impact of facility or administrative problems and their proposed solutions on other departmental and campus areas. Must be organized and follow directions with minimal supervision and handle multiple tasks simultaneously. Must maintain the confidentiality of student information at all times. Must have excellent customer service, interpersonal, written and verbal communication skills. Must be able to communicate effectively with a diverse population of students, faculty, staff and the community. Must be accurate and proficient in MS Excel, Word, and with database data entry and maintenance. Must possess a current California Driver License. Equipment used in the performance of this assignment include a computer with MS windows operating system, an electric golf cart, and a University car or truck. This position requires regular walking throughout all HRE facilities and grounds for the purpose of inspection, problem resolution, or arranging for room set up. May be required to lift up to 40 pounds. May be required to work outside of normal business hours with advance notice.

A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the CSU. The person holding this position is considered a ‘mandated reporter’ under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 as a condition of employment.
