Job Description

Recruitment: 
Work closely with employer relations staff to manage on campus recruiting activities for employers. 

Work as part of a team to continually optimize use of career services data management system, Handshake. 

Utilize Handshake to administer services for employers and UCFstudents/alumni. 

Research and approve new employers; review and approve job postings in Handshake. 

Coordinate and host on-campus interviews, employer information sessions, and information tables. 

Handle requests from employers for on campus interviews and coordinate the development of interviewing schedules. Handle requests from employers for information sessions including space reservations. 

Manage separate email address specifically for recruiting inquiries. 

Answer telephone and e-mail inquiries from employers, students, faculty, and members of the UCF community providing information regarding programs, resources, and services. 

Front desk duties including greeting students and employers, answering phones as needed.

Send out confirmation e-mails to employers with detailed information regarding interviewing logistics – parking and building location.

Provide academic calendar, recruiting and events calendar and other campus information to employers. 

Host, meet and greet employers upon arrival for interviews, information sessions, and workshops.

Evening hours may be required at times to host employers. 

Prepare and maintain interview rooms for on-campus interviews. 

Prepare and post door signs regarding interviews and information sessions. 

Maintain employer lounge including ensuring refrigerator is stocked with refreshments for employers 

Create and update spreadsheets with data regarding new employers, job postings, interviews, information sessions for monthly reports.

Event Management: 
Support the planning and execution of career services events including career fairs and networking events. 

Assist with event planning activities such as table layout. 

Assist with event set-up and clean-up; attend events to assist with the facilitation of operations; ensure assigned aspects of events are implemented according to plans.

Compile and post event evaluation summaries and reports.

Maintain supplies inventory by checking stock to determine inventory level and placing orders for supplies.

Receive and apply payments to corresponding event in computerized tracking system; collect data for budget projections; prepare financial reports; track and follow-up on delinquent accounts and send out notices

Maintain accurate records with proper information including, accurate financial records for each event

Promote CS events to employers, students, college faculty/staff.

Employer Outreach and Relationship Management

Assist in coordinating special college events such as employer panel presentations and career fairs including publicity, recruiter development, space reservations, parking and logistics, catering, and other duties as needed. Conduct on-going assessment and provide feedback as to the effectiveness of career events.

Assist in the development of career and employer outreach programming, workshops, and relevant resources. 

Assist with programming including networking receptions, career panels, and meetings with student groups. 

Host employers coming to campus for workshops, information sessions, lunch & learns, etc. 

Support the planning and execution of employer advisory board meetings.

Lockheed Martin College Work Experience Program (LM CWEP) 
Promote the program, discuss program requirements, and perform administrative duties for the LM CWEP. 

Process student applications to determine eligibility and communicate eligibility to the student. 

Schedule student interviews with Lockheed Martin personnel. 

Prepare new hire packets and assist students with completing the packets upon hire. 

Prepare orientation packets and assist with the delivery of orientation materials to new hires. 

Enter student applicant information into database. 

File student documents, emails and records.

Maintaining statistical program information for applicants and interviews.

Serves on various committees as needed. 

Performs related duties as required or deemed appropriate to the accomplishment of the responsibilities and functions of his/her area. 
Attend training sessions as applicable for enhancement of job-related skills and for professional growth as well as participating in Career Services internal committees and meetings.

Other duties as assigned.

Minimum Qualifications:
Master’s degree in an appropriate area of specialization; or a bachelor’s degree in an appropriate area of specialization and two years of appropriate experience.

Preferences
•Experience in Higher Education (can include OPS or other professional experience) and/or knowledge of Equal Employment Opportunity and other local, state, and federal laws pertaining to employment.
•Proven communication and customer service skills, particularly in a fast paced environment with diverse groups (students, staff, faculty, and employers).
•Experience working with databases such as Handshake, or PeopleSoft. 
•Experience working with Microsoft Office. 
•Organization skills, attention to detail, ability to prioritize, plan and meet deadlines.
•Experience working independently, managing/supervising staff and working with self-directed teams. 
•Proven aptitude for developing and maintaining relationships, strong team member skills.
